Conference Room Policies
NC Telecenter

Reservations
Reservations may be made up to a year in advance with a minimum of at least 24 hours in advance. Reservations may be made via the Internet at the center’s website www.martincountyedc.com. The internet is the preferred method of reserving any room, but exceptions can be made by telephone or email. Once approved a confirmation email will be sent. Bookings are typically processed by noon the following business day and will subsequently appear on the website calendar. If you need to make changes to dates and times or cancellations please send an email to gperry@martincountyedc.com.

Flat Fee Schedule
Conference room fees will be billed the first week of each month for the prior month’s usage. Conference room users will be held responsible for any damages to the facilities. Clean up charges will be assessed in cases of unusual wear and tear on the rooms and the moving of tables and chairs.

Large Videoconference Room

Nonprofit/Government/Education $100

*Martin County units of local government and school system are not charged a fee for the conference rooms, but they are subject to cleanup charges. This fee exemption does not apply for regional meetings.

Cancellation Policy
All cancellations must be made in writing via email or otherwise (email is preferred). Cancellation of a reservation must be reported within 5 business days (Monday through Friday) in advance. Cancellations made within 5 days in advance or more will not be subject to cancellation fees. Cancellations made within 4 days in advance or less will be charged a cancellation fee of $100 for the large videoconference room and $50 for the small videoconference room or the conference room. This policy applies to NC Telecenter and Northeast Technology & Business Center tenants as well. The burden of proof of cancellation shall remain with the person or organization which booked the respective conference room/s.

Right to Refuse Service and Policy Interpretation
The center reserves the right to refuse service to patrons at the discretion of the President/CEO. Questions about this policy should be directed in writing to the President/CEO via email to jsemple@martincountyedc.com or 415 East Boulevard, Williamston, NC 27892. The President/CEO is responsible for interpreting conference room use policy after full staff review.
